Title: Fundraising Administrator
Hourly Wage: £12.82 per hour (specialist admin pay scale)
Responsible to: Groups Manager
Place of Work: Based at the SWALLOW Office and other SWALLOW venues.
Holidays: 25 days pro rata, plus bank holidays
Pension: Peoples Pension Scheme
Hours: 20 hours per week

Job Purpose:
This role will involve supporting the Fundraising team to enable the charity to raise both funds and the profile of SWALLOW. The successful candidate will have good organisational and communications skills and have attention to detail.
This role will suit an enthusiastic person that is looking to develop their existing knowledge, skills and experience with a small, busy charity.
Responsibilities:
General Administration
· To update and ensure the maintenance of the fundraising and supporter database and mailing list.
· To send out thank yous to donors and ensure that their records are updated.
· To distribute marketing materials eg leaflets etc to external organisations and contacts
· Together with the other team members, to design materials and flyers and to liaise with the designer and printers.
· To maintain the SWALLOW display boards and update them for events when required
Ensuring compliance with fundraising regulations and GDPR.
Marketing and Social Media
With guidance and supervision from The Trusts and Events Fundraiser :
· To create and schedule social media posts, reels and stories (Facebook, Instagram and LinkedIn).
· To keep the Communications Schedule up to date – ensuring important dates are planned in and social media posts planned and recorded.
· To compile and distribute the quarterly SWALLOW newsletter.
· To maintain and update the SWALLOW website, including the online shop.
Events administration
To coordinate fundraising event invitations, help to manage the guest lists, publicity and ticket sales and handle post-event follow-ups such asrecording donations and feedback.
To help with and attend SWALLOW events such as the Evaluation Day, AGM and Open Day.
To organise the annual Christmas raffle, including despatch and sale of tickets and organising collection of prizes an thanking of prize givers
· To manage the distribution of collection tins within the local community.
To organise the monthly lottery draw including welcoming new entrants, checking that lottery payments have been made and informing the winners.
General
Assisting with other office duties or other aspects of SWALLOW’s work as necessary
